  211.  ■ INTRODUCTION

  213.       DAYO BO (BackOrder), is the maintenance module for customer's unfilled
  214.   orders. BackOrders are created with the POS module just like you would an
  215.  invoice. All invoice items not onhand in the inventory become a BackOrder. As
  216.   products/items are received into your inventory, the BackOrder Allocation
  217.   process is run to fill your BackOrders. BackOrders are filled, 'first
  218.   come, first serve', based on the date and time of the original order. The
  219.   Allocation process has 2 modes of operation:  AUTO or VERIFY.
  220.  
  221.       DAYO BO is totally integrated with the DAYO POS and DAYO Inventory
  222.   modules.
  223.  
  224.       Like all DAYO applications, DAYO BO is multiuser when used on a PC based
  225.   LAN/Network. It can, however be run as a 'standalone' application.

  308.       To setup DAYO BO, copy the contents of the DAYO BO floppy disks into a
  309.   directory on your hard disk (ie: \DAYOBO). If this is the Shareware Version,
  310.   you need to UnZip/UnArc the files here. When you run DAYOBO for the first
  311.   time, it will create all the database, index, and configuration files it     
  312.   requires for operation. If you are using other DAYO modules, be sure to enter
  313.   the location of these databases into the DAYO BO configuration. Type and
  314.   enter 'DAYOO' at the DOS prompt to run the program (ie:  C:\DAYOO ).

  354.       The left side of the screen is the actual main menu. The calendar and    
  355.   logos are just 'art'. The DAYO BO STATISTICS box (bottom right) contains
  356.   the number of records and size (in kilo bytes) of the main databases (there  
  357.   are many others!).

  377.       Before you can enter the ALLOCATE or the BROWSE options, you must
  378.   open/reopen a register. Opening a register means the recording of the amount
  379.   of money you start the day (period) with. Subsequent invoices will be
  380.   'posted' to this register thus creating a reliable means of auditing your
  381.   daily sales. You are required to close this register at the end of day (or
  382.   period). It is recommended (and common sense), that you reconcile your
  383.   register at this time. Note there are various Register Reports that can aid
  384.   you in your audit. These reports are found in the DAYO POS module.

  386.       To open a register, select the REGISTER option from the main menu. You   
  387.   will then be prompted to open (or reopen), a register.

  405.       DAYO BO starts off with only one register (1), but you can create
  406.   others. Note, it is recommended that DAYO BO use the same REGISTER.DBF as
  407.   does DAYO POS. This is accomplished by insuring that the Configuration
  408.   setting for the POS Database Location is correctly entered.
  409.                                                                                
  410.       You can have many registers, but you can not open a register on more than
  411.   one machine at a time. When you open the register, it prompts you to enter   
  412.   the amount of money you wish to start the day with.

  432.       When a register is opened/reopened, the file is 'locked'. This prevents  
  433.   another machine/CPU from opening it.

  436.  ■ CREATING ADDITIONAL REGISTERS

  438.       To create additional registers, go into the MISC ROUTINES of the DAYO
  439.   POS module, and select the BROWSE DATABASES option. At the prompt for
  440.   database, just press Enter/Return to bring up a list of the databases in the
  441.   current directory. Select the REGISTER.DBF. Press  'Ctrl N' simultaneously

  494.   menu). The Allocation process takes the BackOrders (in the order they were
  495.   created 'first in, first out') and updates the FILLED field with ONHAND
  496.   quantity from the inventory database (INV.DBF).

  2443.  - After using DAYO BO for any period of time, you will need to 'clean out'
  2444.    deleted and closed invoices (INVOICE.DBF, DETAIL.DBF), BackOrder (BO.DBF),
  2445.    and Register (REGISTER.LOG), records/entries. This task can be accomplished
  2446.    with the DAYO End of Period program (DAYO EOP), but if you are not using it,
  2447.    then you will have to use the DAYO POS MISC ROUTINES to DELETE, then PACK
  2448.    the databases. This task is often called the 'End of Month' (EOM),  or 'End
  2449.    of Period' (EOP) purge. The period may be daily, weekly, monthly, quarterly,
  2450.    or yearly. Deleted records should remain in their respected databases until
  2451.    this time to allow for organized record keeping. At this time, reports
  2452.    covering the period could be printed as well as backups of the databases
  2453.    being made. The backup is especially important since you will be
  2454.    permanently removing the records with the PACK option in the MISC routines.
  2455.                                                                                
  2456.  - At EOM/EOP time, the SOLDPTD field in the inventory database (INV.DBF), the 
  2457.    SALESPTD field in the customer and sales persons database (CUSTOMER.DBF &   
  2458.    SALESPER.DBF), should be set to zero. Note that these fields are maintained/
  2459.    adjusted by the use of the Inventory Adjustments option in the inventory    
  2460.    browse screen, and by using DAYO BO.
  2461.                                                                                
  2462.  - On occasion (maybe an under statement), index files will get corrupted,
  2463.    especially on networks. To 'fix' a corrupted index requires that everyone   
  2464.    'get out of' the DAYO databases, and then perform a reindexing (actually a  
  2465.    recreation of the indexes). The reindex is accomplished by running the DAYO 
  2466.    BO program with a parameter of 'INDEX' (or using DAYO X).

  2472.  - If you are on a multiuser network, you must 'flag' (change file attributes) 
  2473.    of all files to make them sharable, readable and writable. Note that the
  2474.    command/program 'flag' may be called by a different name on your network.

  2486.  - Indexes are recreated once every day. This is automatically performed by the
  2487.    first user to run DAYO BO. This process will take more time as your files
  2488.    get larger. This process should take place daily, but you can run it at     
  2489.    night with a batch file that waits until after midnight (ie: DAYO Clock),   
  2490.    or a with most scheduling programs. All other users and computers must be   
  2491.    out of the databases, or the procedure will not occur properly. Remember to 
  2492.    'flag' the files sharable, readable and writable.

  2497.  - Backups of your data and configuration files should take place daily! You   
  2498.    have no doubt heard many scare stories. They are all true! The key files    
  2499.    that need to be backed up, all have the extension of .DBF, and .CFG. The
  2500.    .DBF files are your databases. The .CFG is the file that contains your
  2501.    configuration information (as seen in the Configuration module).
  2502.                                                                                
  2503.  - If you are on a network, it is NOT recommended that you use dBase III+ with
  2504.    the databases. It may write an end of file marker not always recognized by  
  2505.    DAYO. Appending additional records to the database after this point often   
  2506.    leads/creates a 'bad record' in the database.                               
  2507.                                                                                
  2508.  - If you must use dBase (tm) with DAYO BO, and you are on a PC based
  2509.    network/LAN, be sure to SET EXCLUSIVE OFF before you open ANY databases.
  2510.    This will allow the opened databases to be shared, and more importantly,
  2511.    prevent a user (or all users!) from 'crashing'!
  2512.  
  2513.  - If the SIMPLE EDITOR tends to 'hang' your CPU, even on small files, then
  2514.    do not use it... Hope to fix this 'feature' with the next upgrade...
